How it works

Three steps. Done in seconds.

No templates to set up. The hawk reads it, you check it, then you post it.

  1. Add your chart of accounts

Optional. Export it from QuickBooks and drop it in, so every account comes from your own list.

  2. Drop the bill

PDF or photo. The AI reads every line: dates, amounts, vendor, service periods and what each item was for.

  3. Get the entries

Prepaid schedule, every journal entry and QuickBooks-ready exports. Change anything and it all recalculates.

Knows the vendor

Explains in plain words what the vendor does and what you paid them for.

Your chart of accounts

Picks the closest account from your own QuickBooks list and tells you how sure it is.

Prepaid schedules

Spots annual and multi-month bills and builds the amortization, equal monthly or daily, to the cent.

FAQ

Good questions

Is LedgerHawk free?

Yes. It's a free beta while we make it sharper with feedback from bookkeepers.

Does it post to QuickBooks for me?

Not directly. You get a QBO journal import CSV and an Excel file. Most bookkeepers enter the bill in QBO as a normal Bill with one line per account, the same as JE-1, then import only the monthly amortization entries.

How does it decide expense vs capitalize?

Line by line, with the IRS de minimis safe harbor: items up to $2,500 each (or $5,000 with audited financial statements) can be expensed. Shipping, delivery and tax on the same bill are spread over the items first, so a $2,499 chair with $26.51 of shipping is a $2,525.51 fixed asset. You can set your own limit instead. Your CPA always has the final say.

Can I change what the AI picked?

Yes. Every field and every line is editable: amount, treatment, account and service dates. You can add or remove lines and charges, and the schedule and journal entries recalculate as you type.
